Events and Sponsorship Coordinator

DESCRIPTION

The Events and Sponsorship Coordinator is a member of the Learning and Events team which supports the design, delivery, and evaluation of over 150 online and face-to-face learning and events activities each year.

What you will be doing:

  • Working in partnership with relevant internal and external stakeholders to scope and plan event requirements
  • Administering the event management systems Cvent and Eventbrite to create event websites and manage registration processes.
  • Sourcing and booking appropriate venues to cater for events ranging from small meetings to large conferences, with a delegate range of 10 – 1500 pax.
  • Setting up and managing online events using corporate platforms.
  • Sourcing and booking suppliers, guest speakers and contractors
  • Sourcing and building relationships with sponsorship and exhibitors
  • Managing event budgets
  • Working in partnership with the communication team to promote and market events to target audiences
  • Coordinating events on the day, including after hours as required, and provide support and assistance to the event owner, exhibitors, sponsors, and delegates.
  • Evaluating event outcomes through feedback surveys, focus groups, retrospectives, and other appropriate evaluation tools.

Selection Criteria:

Essential

  • Demonstrated experience in event management and sponsorship, with the ability to deliver a variety of online and in-person events of varying scale.
  • Exceptional project management and organisational skills with the ability to think strategically as well as demonstrate strong attention to detail and the ability to manage competing priorities and deadlines.
  • Strong stakeholder management skills with the ability to identify key stakeholders, build and maintain productive working relationships, influence and negotiate outcomes, deal with difficult or challenging situation and effectively resolve conflict.
  • A strong customer focus with excellent interpersonal, written and verbal communication skills.
  • Critical thinking and problem-solving capability with the ability to take initiative, think outside the box and provide innovative concepts and solutions.
  • Demonstrated experience and advanced skills with Cvent or similar event management systems.

Desirable

  • Tertiary qualification in event management or related discipline.
  • Proficiency with Microsoft Office 365 suite including SharePoint and Teams, Zoom and Adobe Creative Suite.
  • Knowledge and understanding of local government.

About the role:

  • Temporary casual position with the view to go permanent for the right candidate
  • $85K + 10% super
  • Full time position
  • Based in Melbourne CBD
